CASE STUDY: Multi-City ‘Once In A Lifetime’ Incentive Trip

The Challenge:

Our client tasked us with creating an exciting, six-day incentive trip for their top sales representative winners consisting of 89 consumer goods representatives and their plus ones. With a total of approximately 178 attendees, the challenge was to find venues to entertain this large group in two separate cities. The client wanted to visit New York City, but were open to another city within their budget.

The business was awarded in August and the event was to be delivered in October of the same year. All of the planning and venue sourcing was to be done within a tight timeline. The pressure was on!

The Approach:

We decided the best way to tackle this task was with a two person team. Our Operations Manager paired up with one local guide in each of the two cities to ensure we were working efficiently and providing the guests with the best experience possible. We started our trip in Orlando, where everything kicked off at Icon Orlando 360, Orlando’s 400-foot tall observation wheel, followed by beach party at Discovery Cove – which included some live dolphins!

At the parks, guests were greeted by real life Wonder Woman and Spiderman. The team surprised the client with a private spot for dinner that evening on the 27th floor of the Buena Vista Palace, which included a spectacular view of the four park Disney World Fireworks show.

The group’s stay in Orlando also included a ‘Move That Bus!’ Extreme Makeover: Home Edition activity, and a great day exploring Universal Studios Orlando. After exploring the park, the group relaxed at Icebar, the largest permanent ice bar in the world with over 70 tons of hand-carved ice! Surprises included an ice sculptor of the company logo as well as a surprise sparkler celebration with the Ice Princesses.

The second portion of the trip took place in New York City where we began with a group tour of Central Park and private picnic with a flash mob of random New Yorkers. Day 2 in New York began with a private breakfast and shopping in Macy’s followed by some leisure time. Dinner was held at Del Frisco’s in The Rockefeller Center, and followed by a Broadway show of the guests choosing. Day 3 featured a clear bus tour where attendees were able to see multiple street acts such as a ballerina outside of the Lincoln Center, and a break dancer.

The guest’s last night in New York City was no disappointment! We rented out The R Lounge for the reception, which faces the space where the New Year’s Eve ball drops each year. The last, and most exciting, surprise in store for the group was a private helicopter tour over New York City.

The Solution:

GETDestinations planned and executed every detail of the trip from start to finish. Everything was set to match the high intensity and excitement of the group of representatives. The excitement and surprise around every corner made for an amazing experience for all of the attendees. The guests enjoyed themselves so much that the company had chosen the option to extend their final night out until 2am!

On top of the positive feedback from the company and attendees, this trip was an enormous success because of the short planning time. Everything was successfully planned and delivered within the 3 month time period! Excellent feedback was received from this incentive. The specialization and care our Operations Manager took to deliver an impactful and surprising incentive to 178 high energy attendees did not go unrecognized.
